On behalf of our global Oilfield Services organisation, NES Fircroft are looking for an experienced Field Operator Administrator to join the team in Perth to support O&G projects.

Reporting to the two IET GTS Resource Managers based in Perth you will provide dedicated operational to support to more than 50 FSEs from Australia and Papua New Guinea. This role coordinates with two other support personnel to ensure timely, accurate and effective support to Field Operations across Australia and Papua New Guinea.

Working Hours: 24 hours per week (expect an increase during payroll week)

Essential Responsibilities:
  • Maintain accurate records of FSEs compliance with FRAME and BOSIET medical requirements. Ensure FSEs complete FRAME medical examinations within required timeframes. Noting that some sites have specific medical requirements – BP Tangguh, ExxonMobil PNG – arrange appointments for the FSEs attending these sites and ensure all the medicals are duly completed.
  • Maintain sufficient stocks of PPE for FSEs:
    • For ANP FSEs, ensure that the record of sizes for each FSE is accurate and up to date. Ensure that each FSE is provided with sufficient PPE to allow him to work across all sites in region. Noting that some sites have specific PPE requirements that differ from the standard PPE specification – notably Woodside and ExxonMobil PNG – ensure that FSEs attending these sites have stocks of this site-specific PPE to allow them to mobilize at short notice if required.
    • For International FSE mobilizing to sites in ANP, ensure that stocks of PPE are ordered as soon as the FSE is assigned in ServiceMax. Ensure that the PPE is shipped to the FSE either at their home, at site or to another location so that they have the PPE prior to arrival at site.
    • Hold back-up stock of PPE in the Perth Office and Brisbane office so that FSEs and other TPS personnel are able to access PPE quickly if the requirement arises.
  • Review and process FSE timesheets within the Australian UKG Pro payroll system. Ensure that site allowances and overtime hours claimed are in accordance with Australian and client requirements. Highlight and resolve any discrepancies by working with the FSEs, Resource Managers and Service Managers. Ensure that Timesheets are approved and FSEs are paid without delay.
  • Conduct regular reviews of FSE data within ServiceMax to ensure that the data is accurate and up to date. Work with FSEs to update or correct any incorrect data.
  • Liaise with the Finance team in Italy to review the FSE costs booked in the ledger every quarter to ensure accurate allocation of costs.
  • Liaise with AMEX GBT to assist our FSEs and OEMs in booking complex flight itineraries that are aligned with country, site and local travel restrictions and accommodation limitations.
  • Liaise with IT Services to ensure that all telephone or computer issues experienced by FSEs are resolved without delay. Work to ensure that new telephones and IT hardware are shipped reliably, quickly and correctly to FSEs, minimizing their down-time due to lack of access to client systems.
  • Support compliance and auditing activities on behalf of Global Operations. Liaise with client auditors seeking to audit Global Operations.
Qualifications/Requirements:
  • Experience in office administration support for a multinational company.
  • Experience with accounting and administrative systems used by the client, including Salesforce, Oracle, B2P and SAP Ariba. Experience with similar packages pay also be considered.
  • Prior experience working with a remote workforce within the Oil & Gas industry or heavy industry within Australia.
  • Prior experience working at an international level with other cultures and nationalities.
  • Exposure to major resource and/or Oil & Gas projects.
