Dimensions of the function
You'll arrive at our site in Ertvelde - the strategic factory for the lubricants department in our group. We market more than 180,000 tons of lubricant's per year. You'll be responsible for the proper management of projects in progress, in terms of technical implementation, quality, and safety.
For this, you'll come into contact with various departments such as the project department, maintenance department, production, safety and quality.
Activities & Responsibilities
The supervisor coordinator projects perform the following tasks:
o Maintenance department
o Production
o PPS (Planning-Procurement-Subcontracting-Stocks)
o HSE
o Quality
The projects can cover different disciplines:
o Inspection work
o Piping - work on steel structure - work on tanks
o Mechanical engineering and machine safety
o Civil
o Electrical
o Roofing
o Renewable energy
o Facilities - HVAC
Health, safety, environment & quality
During work preparation:
o Requesting TRA (task risk analyses) from executors
o Consultation with safety coordinator regarding execution of work
o Drawing up correct work permits and LOTOTO for execution of work. Organize LOTOTO control by production.
o Transferring all safety procedures to executors
o Checking whether executors have the required certification
During execution of work
You are responsible for the proper management of projects in progress, in terms of technical implementation, quality and safety. For this you will come into contact with various departments such as the project department, maintenance department, production, safety and quality.
We market more than 180,000 tons of lubricants every year. You will arrive at our site in Ertvelde – the strategic factory for the Lubricants department in our group.
o Start work meeting on site, confirm work permits as issuer.
o Check for safety during execution of work: All high risk permits must be checked in the field by the work supervisor
o Record action points of HSE service and safety coordinator with executors.
o Check that work is in accordance with safety procedures
After completion of work
o Commissioning of installation o Prepare REX and deliver it to the responsible project manager
o Focus on safety – respect general safety rules, work permit conditions, etc.
o Necessary deviations must always be made in consultation with the supervisor and, if necessary, with other services (production, HSEQ) before resuming work.
o Checking and adjusting the efficiency and effectiveness of the implementation. o Performing delivery checks – performing a functional check before delivery
o Monitor supplier performance
o Check whether the contractor's work location, working method, results and deliverables are in line with the agreements made and in accordance with the required work permit(s). If deviations are found, this will be discussed with the contractor of the installation
o Record and implement residual points of projects together with the maintenance department
o Log everything via ultimo: work permits, status transitions, etc.
o Executing projects developed by the project manager
o Discussing the working method with contractors
o Scheduling work together with production, maintenance and planning o Adding and discussing jobs at weekly planning meetings
o Preparing the installation together with production – LOTOTO, blowing out the installation
o Providing the right materials o Guiding contractors on site visits for preparations o Requesting the required certificates and TRA
o Checking previous steps in the execution (scaffolding, removed installation, etc.) ÿ Preparing small projects
o Drawing up a cost estimate. Requesting a quotation from contractors ÿ Scheduling site visits
o Drawing up a schedule
o Preparing the technical working method

Supervising and delivering work
o Focus on safety – respect general safety rules, work permit conditions, etc. Necessary deviations must always be made in consultation with the supervisor and, if necessary, with other services (production, HSEQ) before resuming work.
o Checking and adjusting the efficiency and effectiveness of the implementation.
o Performing delivery checks – performing a functional check before delivery
o Monitor supplier performance
o Check whether the contractor's work location, working method, results and deliverables are in line with the agreements made and in accordance with the required work permit(s). If deviations are found, this will be discussed with the contractor
o Reporting repeated deviations so that this can be recorded by the contract manager
Aftercare and administrative tasks o Work preparation for periodic maintenance of installations in the end
o Create and log LOTOTO plans in the end
o Adjust P&IDs ÿ Adjust electrical plans
o Supplement and complete MOC (Management of change) documents
o Attend commissioning's and carry out action points
Competencies
o Organizational talent for dynamic planning of activities, taking into account changing priorities, occupancy, etc.
o Strong technical knowledge to be able to assess projects qualitatively.
o Strong communication skills.
o Within the team and towards all departments involved.
o An eye for safety.
