Inspection Admin Coordinator

This role will primarily focus on monitoring and managing the inspection test plans of critical packages on an FPSO, such as large mechanical and rotating equipment or modular skid fabrications. From the execution of orders through to final delivery, you will ensure the vendor’s quality and inspection steps are fulfilled and align with contractual requirements and specifications.

You will directly coordinate and guide third-party inspection activities for your scope of purchase orders. Operating under a ‘no carry-over work’ policy, the role emphasizes completing inspection activities prior to material collection, proactively managing punch lists, and clearing outstanding work diligently.

This vital position collaborates with the project team, including the Package Manager (PKM), Project Procurement Manager (PPM), Expeditors (EXP), Package Engineer, and others.

Main Tasks & Responsibilities
  • Work closely with vendors to meet shared objectives, adhering to company requirements and applicable local and international regulations.
  • Collaborate with internal and external stakeholders involved in expediting, inspection, logistics, and material control, such as agencies, freight forwarders, and customs officials.
  • Attend Kick-Off meetings relevant to your scope, conduct Pre-Inspection meetings, and attend Witness and Hold points at vendor premises when required.
  • Review and manage vendor ITP documentation to ensure compliance with our client’s specifications and requirements.
  • Generate and maintain a Vendor Inspection Plan (VIP) using NADIA for assigned projects.
  • Address key issues arising from inspection visits, escalating them to the Package Manager, Package Engineer, and Project Procurement Manager.
  • Oversee the implementation of protocols for issuing Inspection Release Certificates, Inspection Waivers, and managing Punch Lists.
  • Monitor third-party and classification inspection requirements, ensuring completion at the time of issuing Inspection Release Certificates.
  • Evaluate and support documentation for qualified field inspection personnel.
  • Ensure assigned inspectors are familiar with project requirements.
  • Review inspection reports from Field Inspectors, ensuring timely issuance of reports, non-conformance notes, release certificates, and punch lists.
  • Set up package inspection levels and Inspection Matrices, log data in NADIA, and liaise with the Certifying Authority and the client for their inspection involvement.
  • Coordinate with engineering, construction, client, and CA representatives to ensure attendance during pre-fabrication, pre-inspection meetings, intermediate inspections, and FAT as needed.
  • Monitor HSSE issues and act accordingly.
Education & Experience
  • Bachelor’s degree in Engineering, Commerce, or a related field.
  • 3+ years of experience in inspection coordination.
  • Strong knowledge of Oil & Gas industry quality standards and inspection test requirements for complex equipment.
  • Experience with commodities like valves, piping, E&I, or mechanical packages is a plus.
  • Field inspection experience and certifications in NACE, NDT, or ComEx (EX) are advantageous.
  • Solid understanding of quality documentation, including ITPs, technical specifications, FAT procedures, and quality assurance plans.
  • Self-starter with strong interpersonal, organizational, and time management skills.
  • Leadership and proactive problem-solving abilities.
  • Flexibility to adapt to operational changes and willingness to travel.
  • Fluency in English, both written and spoken.
