                          Lead Admin Inspection Coordinator

The Inspection Coordinator will primarily focus on ensuring the completeness of inspection activities, proper administration, and visualizing key information through reporting, dashboards, and KPI tracking.

You will directly coordinate and guide third-party inspection agencies for your assigned project, ensuring compliance with our requirements and the timely execution of tasks. Following a ‘no carry-over work’ policy, we strive for the full completion of inspection activities before the collection of material. This involves diligently addressing and clearing punch lists and outstanding work lists.

This pivotal role collaborates with the Project Inspection Supervisor and Project Inspection Coordinators, offering a unique perspective and opportunity to experience inspection services through diverse tasks.

Main Tasks & Responsibilities
  • Monitor overall inspection data in our ERP, providing project teams and management with inspection services visibility and forecasting capabilities.
  • Expedite third-party agencies for timely actions, particularly for submitting field inspection reports, completing punch list/OWL templates, and timesheets.
  • Generate and maintain a Vendor Inspection Plan (VIP) in the ERP for assigned projects.
  • Ensure project inspection coordinators set up and register inspection activities in the ERP as required.
  • Support the implementation of procedures for issuing Inspection Release Certificates, Inspection Waivers, and Punch Lists.
  • Assist in maintaining the Project Inspection Matrix (PIM).
  • Attend key meetings such as Kick-Off Meetings (KOM), progress reviews, and Release for Shipment Package Health Check Gate reviews as needed.
  • Work closely with the document control team to ensure the timely uploading of inspection-related documentation.
  • Prepare and maintain regular reports, including the Vendor Inspection Plan, inspection date forecasts, Punch Lists/OWL, and site observations.
  • Support Project Inspection Coordinators in ensuring supplier notifications meet requirements and in preparing transmittal packages for inspection agencies.
Education & Experience Qualified candidates should have at least a high school diploma or a bachelor’s degree in a field related to engineering, business, analytics, or computer sciences, along with 3+ years of experience in an inspection coordination or administration role. Knowledge of Oil & Gas industry quality standards and inspection test requirements for complex equipment is a plus.

Additionally, you are:

  • Proficient in analytical tasks, with strong Excel skills (Power BI is a plus).
  • Experienced in field inspection or inspection coordination (preferred).
  • Knowledgeable in quality documentation such as ITPs, technical specifications, FAT procedures, manufacturing processes, and quality assurance plans.
  • A self-starter with strong interpersonal and organizational skills.
  • Excellent at time management, with leadership skills and proactive behavior.
  • Flexible and adaptable to operational changes.
  • Fluent in English, both written and verbal.
