JOB DESCRIPTION Organizational entity: Maintenance and Inspection - Field Operations JOB TITLE Manpower Administrator SITUATION IN ORGANIZATION · Reporting to Lead, Recovery and Sustainability Project N+1· Head, Maintenance Recovery and Project Readiness department N+2 Position has no direct reports /subordinate’s positions ACCOUNTABILITIES · Ensure the office operates efficiently by managing administrative processes and resources.· Manage and organized filing system, maintain records of employees, payroll, contractors, or otherimportant documentation and ensure records are up to date.· Ensure information is communicated accurately and timely between offshore team and onshoremanagement.· Manage calendars, schedule meetings, appointments, and coordinate events and distributing agendasand taking minutes.· Ensure the confidentiality and security of sensitive data.· Prepare reports, presentations, and other documents and ensure reports are accurate, up-to-date, andsubmitted on time as required by management.· Ensure adherence to company policies and legal regulations (such as health and safety or data protection).· Managing and overseeing mobilization, providing logistical support, training process and provide efficientand effective support for all offshore needs.· To coordinate with contractors the required trade mix offshore and keep track employee availability andensuring all shifts are covered. ACTIVITIES HSE· Adhere to NOC HSE policy, contributes to meeting the HSE objectives of the Recovery and SustainabilityProject· Drive an incident free environment through establishing and maintaining a strong safety culture.· Responsible for ensuring compliance with HSE (occupational and process) legislation, Company standardsand procedures under area of responsibility to ensure employee safety, legislative compliance, and aresponsible environment attitude.· Ensure compliance with Operating Procedures and Guidelines within the Asset to ensure Process Safety,Operational Safety and Plant IntegrityOperational· Support and arrange schedule, travel, visa/exits, and hotel for all Recovery & Sustainability Projectemployees, and Consultants whenever required. This position is embedded in the NOC organization.· Schedule planning and Dawinci System updates.· Prepare, update & maintain work schedule for employees and Contractors/consultants offshore.· Handling of all tasks related to Contractors.· Support and ensure travel for offshore personnel is arranged (flight, hotel, QP pass, visa and exits).Ensuring the best possible service is provided by being on time and obtaining the best possible travelschedule when following Company procedures.· Coordinate inductions and mobilizations for all personnel.· Co-ordinate and arrange training of personnel. NOC-C-601(v.2) 123 [insert the reference number] · Securing heli bookings for offshore personnel and Consultants whenever required while maintaining aclear overview of heli bookings for scheduled personnel and consultants.· Keep track of QP pass, medical certificates validity and all mandatory POB system requirements.· Book stand by hours for contractors/consultants.· Prepare and circulate end of the month man hour summaries to respective manpower companies to raiseinvoice.· Administration and coordination of offshore operational requests.· Effective management of manning company and maintain work relationship.· Participation in Duty roster.· The operational element in the position requires 24/7 mindset. CONTEXT AND ENVIRONMENT · Position holder located Onshore.· Degree of Risk –Low QUALIFICATIONS & EXPERIENCE REQUIRED · Elementary School, relevant apprenticeship, or relevant industry experience.· Excellent verbal and written English skills are a prerequisite for the position.· Proficiency in MS Office.· Strong administrative & analytical skills· Organized & Service minded.· Minimum 2 years’ experience within administration, preferably from the Oil and Gas industry· TBOSIET/FOET, H2S, Fitness for work (offshore) certificate.
