We are working with our tier 1 mining client, recruiting for a Travel Coordinator to join them on an initial 6-month contract with possible extension. The Travel Coordinator will be responsible for managing all aspects of travel arrangements for employees and contractors within IS&T, specifically mobilising to the WA Pilbara region. This includes booking flights, accommodation, and transportation, as well as ensuring compliance with company travel policies.

Key Duties:
  • Travel Arrangements: Coordinate and book travel arrangements for IS&T personnel, including flights, accommodation, vehicle hire, and other transportation needs.
  • Policy Compliance: Ensure all travel arrangements comply with company travel
  • policies and procedures.
  • Travel Documentation: Prepare and distribute travel itineraries, booking confirmations, and other necessary documentation to travelers.
  • Stakeholder Engagement: Advise internal stakeholders on relevant travel policies and procedures, ensuring they are informed and compliant.
  • Expense Management: Capture project and operational travel expense information to ensuring accurate and timely processing of travel-related cost reconciliation.
  • Travel Reporting: Maintain reporting to capture personnel information related to site travel, ensuring visibility of all personnel at site for safety management purposes.
  • This includes tracking travel dates, locations, and contact information.
  • Emergency Support: Provide comprehensive emergency response management,
  • including coordinating travel changes to support personnel affected by natural
  • disasters in the WA Pilbara region.

  • Organizational Skills: Ability to manage multiple travel arrangements across different projects and programs, and prioritize tasks effectively
  • Attention to Detail: Ensure accuracy in travel bookings, documentation, and reporting.
  • Communication Skills: Strong verbal and written communication skills to interact with employees and contractors, stakeholders, and management
  • Problem-Solving: Ability to handle travel-related issues and emergencies with a calm and solution-oriented approach
  • Customer Service: Provide exceptional service to personnel, ensuring a positive travel experience
  • Technical Proficiency: Proficiency in using travel booking software and MicrosoftOffice Suite
  • Stakeholder Engagement: Ability to effectively communicate and advise internal stakeholders on travel policies and procedures
Qualifications:
  • Minimum of 3 years of experience in travel coordination or a similar role
  • Experience working in the mining resources industry and familiarity with site
  • mobilization practices
